1. Overview

This Payment Policy outlines the terms and conditions regarding financial transactions, invoicing, and payment methods for B2B procurement of industrial, agricultural, water treatment, and mining chemical supplies from EcoBio Chemicals.

By placing an order, requesting formal quotations, or executing transactions with our enterprise, you agree to adhere to the payment terms specified herein.

2. Accepted Payment Methods

To facilitate secure and efficient B2B transactions, we accept the following payment channels:

  • Direct Bank Transfer (EFT): Electronic Funds Transfers made directly into our designated corporate bank account. Details are provided on all official invoices and quotations.

3. Invoicing and Payment Terms

  • Standard Orders: Full payment or a verified proof of payment (EFT) is required prior to the dispatch, packaging compliance processing, or release of chemical shipments, unless a formal credit facility has been pre-approved.

  • Approved Credit Accounts: For corporate clients with established credit terms, payment is strictly due within 30 days (or as specified in your contract) from the date of the tax invoice.

  • Quotations: Pro-forma invoices and official quotations remain valid for 14 calendar days from the date of issue, subject to raw material and heavy metal market price fluctuations.

4. Late Payments and Overdue Accounts

  • Interest Charges: Overdue balances on commercial accounts may accrue interest at the maximum legal rate permitted under South African law from the due date until the date of full settlement.

  • Suspension of Services: Eco Bio Chemicals reserves the right to suspend pending shipments, cancel open orders, or withhold issuance of Certificates of Analysis (CoA) and compliance documentation until overdue accounts are settled in full.

  • Recovery Costs: The client shall be liable for all legal costs, collection fees, and tracing expenses incurred by Eco Bio Chemicals in recovering overdue amounts on a attorney-and-client scale.

5. Pricing, Currency, and Taxes

  • Currency: All transactions and prices are quoted in South African Rand (ZAR) unless explicitly agreed otherwise in a written international supply contract.

  • Value-Added Tax (VAT): All applicable local taxes, including South African VAT, will be calculated and itemized at checkout or on official invoices according to current regulatory standards.

6. Refunds and Returns

Due to the stringent safety mandates, hazardous nature (e.g., UN2809 transport classifications), and quality control tracking required for industrial chemicals:

  • Returns are only accepted if products are proven to deviate from the provided Certificate of Analysis (CoA) or arrive damaged due to logistics failure.

  • Claims regarding incorrect or damaged shipments must be reported in writing within 48 hours of delivery.

  • Approved refunds will be processed via the original payment method after inspection and verification of returned stock.
